Start with a recurring problem
Look for a task your team repeats often: sorting inquiries, finding approved information, or preparing a first draft. Write down who does it, what triggers it, and what a successful result looks like.
Choose a process you can explain
If the process is unclear to your team, automating it will not make it clear. Document the steps first. Identify exceptions and the decisions that should remain with a person.
Set one useful measure
Choose a measure close to the work. Examples include minutes spent preparing a summary, the completeness of captured inquiries, or the number of requests routed correctly. Record a starting point before making changes.
Test with representative examples
A demonstration is a starting point, not proof that every real situation will work. Test ordinary cases, incomplete information, and difficult exceptions using approved data.
Expand after the first workflow earns its place
Let the team use the solution, collect feedback, and fix the rough edges. Add more tasks only when the first one is useful and its responsibilities are clear.
